Pricing & Bar Service: All estimates, service selections, and applicable fees were outlined in our catering packet and contract and reviewed throughout the planning process. While the guest count decreased, the final balance increased due to changes made shortly before the event, including upgrading from a three-hour beer and wine bar to a four-hour full bar. As stated in our materials, open bar packages include beer, wine, and liquor, with a separate $3 per-person charge for soda, iced tea, water, and coffee service. Bar service is available for up to five hours; the four-hour option selected was provided in full. Capacity & Space: Capacity details are clearly stated in our materials. The 250-guest capacity applies to our terrace venue, while the ballroom accommodates up to 150 guests. The final guest count of approximately 100 was well within the ballroom’s capacity and did not result in overcrowding. Décor & Effects: Restrictions related to fog machines, wall attachments, and similar items are outlined in the contract for safety reasons. After confirming the fog machine was water-based and non-chemical, an exception was approved and the effect was used during the reception. Setup & Coordination: The ballroom was fully set with tables, chairs, and linens by 9:00 a.m. to allow décor setup. Ceremony chairs were scheduled for placement later in the day per staffing procedures, which was communicated in advance and coordinated with the planners. No groomsmen were required to move furniture; tables were repositioned by our coordinator in direct coordination with the dance floor vendor. Cocktail Hour & Staffing: There was no client-provided cocktail hour décor to clear. Guests remained in the cocktail area beyond the scheduled timeframe due to ceremony timing, despite the restaurant requiring the space for reservations. Our coordinator was onsite from early morning through the ceremony and communicated her departure directly to the planners, confirming an onsite contact for the remainder of the evening. Inclusivity: We take concerns regarding inclusivity extremely seriously and are disheartened by that perception, as it does not reflect our values or how we strive to treat every couple. While we understand perceptions can differ, we appreciate the opportunity to clarify these points and wish you both all the best moving forward.
